Formal Letter Format

2. Components of a Formal Letter
2.1. Sender’s Address
- Placed at the top-left corner.
- Includes full address (house number, street, city, state, postal code).
- No name is included in the address block.
2.2. Date
- Written below the sender’s address, aligned to the left or right (depending on regional conventions).
- Format: Day Month Year (e.g., 2 June 2025).
2.3. Receiver’s Address
- Below the date, aligned to the left.
- Includes the recipient’s name, designation, organization, and full address.
- Use titles like Mr., Ms., Dr., or official designations (e.g., The Manager).
2.4. Subject Line
- A concise statement summarizing the purpose of the letter.
- Format: “Subject: [Brief description of purpose]”.
- Placed below the receiver’s address, aligned to the left.
2.5. Salutation
- Formal greeting addressing the recipient.
- Examples: “Dear Sir/Madam,” “Dear [Name/Designation],”.
- Use a comma or colon after the salutation (e.g., Dear Sir,).
2.6. Body of the Letter
- Organized into paragraphs, typically 2–3, depending on content length.
- First Paragraph: Introduce the purpose of the letter clearly and briefly.
- Second Paragraph: Provide details, explanations, or supporting information.
- Third Paragraph (if needed): Conclude with a request, action, or closing remarks.
- Use formal language, avoid contractions (e.g., use “do not” instead of “don’t”).
2.7. Complimentary Close
- A polite closing phrase, aligned to the left or right.
- Examples: “Yours sincerely,” (if the recipient’s name is known) or “Yours faithfully,” (if unknown, e.g., Dear Sir/Madam).
- Followed by a comma.
2.8. Signature and Name
- Below the complimentary close, leave space for a handwritten signature (if physical letter).
- Type the sender’s full name and, if applicable, designation below the signature space.
